Checklist

Reserve one of the Catalina Recrooms. Only two out of three recrooms may be reserved at any time. The sign-up board is next to the Catalinas custodial office, in from of the Central recroom. If you don't live in the Catalinas get somebody who does to make the reservation
Create a colorful flyer. For inspiration check out the flyer collection from previous parties.
If you are planning to use GSC funding check with them that they are okay with it. Send an email to gscnews@its.caltech.edu with an announcement about the party. It will go into the GSC newsletter. Don't forget to mention GSC sponsorship in the email and on the fliers. Post fliers everywhere on Campus, especially in the Catalinas. GSC-sponsored events must be advertized according to GSC guidelines.
If alcohol is served you'll need to follow the Caltech Alcohol Policy. You'll most likely need to hire a bartender, definitely if those under 21 years of age are present at the party. Fill out the Event Registration Form. and take it to the Secutiry Office. Contact the Graduate Office and ask them to approve the party. They can handle bartender reservations. Ask them if they can help pay for the bartender. They will often do it.
Have a tip jar for the bartender. Tip the bartender.
Plan to have some music. Sound equipment (PA system and DJ board) can be checked out from Caltech Y (x6163). Go to the services link. Audio-video rentals are free for Caltech Clubs.
We've used projectors before to project video clips or animation. This was very well received.
Coolers/ice tubs can be checked out from the GSC room at the SAC. Contact the GSC Social Committee for more details. Alternatively you can contact CHCC. ISP has coolers, and ice tubs, too.
Send an email to the club mailing list. It's a good idea to stay in touch with Russian Clubs at other Southern California Universities and other friends.
Create a shopping list and buy supplies.
